  • Service Dissatisfaction: If you are dissatisfied with the service quality at any point, you may be eligible for a partial or full refund based on the specific circumstances and usage.

2. Requesting a Refund

  • Required Details: Provide your account details, the reason for the refund request, and any relevant documentation or information that may assist us in processing your request.

3. Processing Time

  • Initial Review: Once we receive your refund request, our team will review it and respond within 3 business days.
  • Approval Notification: You will be notified via email once your refund request is approved.
  • Refund Issuance: Approved refunds will be processed within 7 business days from the approval date. The refunded amount will be credited back to the original payment method used during the purchase.

4. Calculation of Refund Amount

  • Pro-Rated Refunds: For services terminated before the completion of the agreed period, the refund amount will be calculated based on the actual services rendered up to the termination date.
  • Unused Services: Any unused portion of the service will be refunded, minus any applicable fees or charges for services already provided.
  • Adjustments: If any discounts, promotions, or special offers were applied, the refund amount will be adjusted accordingly to reflect the actual value of services rendered.

5. Termination of Services

  • Client-Initiated Termination: You may terminate your virtual assistant services at any time by providing written notice to our customer support team.
  • Company-Initiated Termination: Virtually Assistance reserves the right to terminate services if there is a breach of our terms and conditions or misuse of services. In such cases, the refund will be calculated based on services provided up to the termination date.
  • Immediate Termination: In cases of fraud, abuse, or illegal activities, services will be terminated immediately without refund.

Additional Scenarios

1. Service Level Agreement (SLA) Breaches

  • If Virtually Assistance fails to meet the agreed-upon Service Level Agreement (SLA) metrics, you may be eligible for a refund or credit toward future services.

2. Service Downtime

  • Refunds or credits may be issued for significant service downtime or interruptions that impact the delivery of virtual assistant services.

3. Change in Service Requirements

  • If there is a significant change in your service requirements that Virtually Assistance cannot accommodate, you may be eligible for a refund for the remaining portion of your contract.

4. Prepaid Services

  • For services paid in advance, refunds will be calculated based on the unused portion of the service, minus any applicable fees for services already rendered.

Exceptions to Refund Policy

  • Non-Refundable Services: Refunds will not be provided for services already rendered or for any fees associated with the initial setup, consultation, or administrative costs.
  • Promotional Offers: Refunds may not be available for promotional offers, discounted services, or special packages, unless explicitly stated in the terms and conditions of the offer.
  • Third-Party Services: Services provided by third-party vendors or partners are subject to their respective refund policies and are not covered by Virtually Assistance’s refund policy.
